Founded in 2019 and with a current team of 50, we are continuously expanding our presence throughout North America, central Europe and Australia and are constantly searching for high-impact individuals in various clinical, technological and business operations domains to strengthen our team.

Responsibilities 

  • Full calendar management including scheduling of all meetings, ensuring all parties are aware of purpose, and maintaining CEO personal calendar 
  • Coordinating all information flows to ensure adequate prep time so that CEO is always prepared 
  • Follow up with teams to ensure all follow up action items are completed – the enforcer
  • Proactive self-starter who can solve any calendar challenge at a moment’s notice
  • Research and prepare conference briefings, tech dry runs
  • Leadership Team communications – keeping the team informed and up to date
  • Ability to do note taking during confidential meetings, synthesize outcomes and distribute follow up actions to the right individuals 
  • Responsibility for supporting project work
  • Consolidating all requests for CEO’s time, agree on priorities with CEO and clearly  communicating expectations to team as to priority and accessibility 
  • Special Project management such as coordinating events worldwide and coordinating extended global business development trips

Requirements 

  • Bachelor’s degree or equivalent experience required
  • Virtual environment
  • 3-5 years of experience in a business role
  • Previous experience in coordination and operational experience in a startup or investment environment 
  • Excellent presentation, spreadsheet, and document authorship skills
  • Exceptional time management skills and calendaring — experience with scheduling internal and external meetings with C-level stakeholders, investors, and other busy senior people
  • Strong written & verbal communication skills – Be able to deal with highly confidential and sensitive information and communicate effectively with Senior Executives and Influencers 
  • Positive attitude, appetite for development
  • Ability to multi-task in a fast paced environment and anticipate last minute changes
  • Incredibly attention to detail and analytical skills
  • Ability to pinpoint problems and find creative solutions proactively
  • Strong business acumen and judgement
  • Experience with booking complex travel arrangements and adjusting them on short notice
